About the Country Program:

People in Need (PIN) is an international, non-profit organization providing humanitarian and development assistance around the world. In Myanmar, People in Need started to work in 2002, when it launched the financial assistance to civil society groups and independent media. After 2008, PIN provided humanitarian and relief aid to people affected by typhoon Nargis. Since 2012, PIN has been operating directly from Myanmar, our programs focusing primarily on supporting local civil society in remote areas, and humanitarian assistance. We are working in areas affected by armed conflicts in Rakhine State and in Kachin State providing humanitarian aid in the sectors of Nutrition, Education in Emergencies, Protection and WASH. In Kachin State, PIN also provides technical support for designing and implementation of the land reform process and works for ensuring the appropriate involvement of civil society organizations. Furthermore, our social cohesion program aims to promote tolerance and acceptance of diversity in different communities in Mon, Kayin and Rakhine States. We are currently expanding our operations into urban programming in Yangon.

Apart from Yangon, PIN has currently offices in Rakhine, Kachin and Kayin States. Majority of PIN funding in Myanmar comes from the Myanmar Humanitarian Fund (MHF), the EU, Czech and US Governments, UN and private donations.

Overview of the position:

As a member of Country Programs Unit (CPU), the Grants Coordinator, will be leading on grants healthiness review and oversight, particularly on compliance and on donor communications, for the said grants. The Grants coordinator will be working with project/area managers to ensure adequate and appropriate support for compliance and donor engagement are available for project teams. The Grants Coordinator, in support of the CD and HoP, will also have facilitative functions on proposal development, will be the proposal and reporting focal point, when applicable.

Duties and Responsibilities:
  • Act as overall supervisor and quality assurance for collection, compilation, review, quality control and editing of both quantitative and qualitative donor, internal and cluster reporting.
  • Ensure that all reports are in-line with relevant donor requirements in terms of structure and content, including with regards to mainstreaming issues, including protection, gender, do no harm and conflict sensitivity.
  • Ensure regular updating of reporting and compliance guidelines for key donors outlining requirements for programme implementation, procurement and distribution, information collection and storage, and reporting.
  • Ensure that relevant staff are provided with timely information and materials including guidelines, templates and examples in order to develop quality reporting contributions.
  • Supervise the grants unit in building the capacity of programmes staff to improve quality of reporting, as well as in maintaining an internal tracking database of donor, internal and cluster reporting timelines and coordinating with PMs and the Mamp;E team for timely data collection and compilation.
  • Proactively monitor potential new funding opportunities for PIN in Myanmar through relevant open sources (donor websites, humanitarian assistance portals), clusters, and bilateral consultation and scoping with existing and potential donors.
  • With support from HoP, lead the grants unit and Senior Management Team (SMT) in the development of concept notes, proposals and situation analyses coordinating the development process with all relevant departments, including designing logical frameworks, setting realistic and measureable targets, and developing narrative proposals amp; budgets.
  • In coordination with HoP and the grants unit, ensure that the programmatic lessons learned tracker is regularly updated and shared with programmes teams for action (minimum quarterly) by introducing key lessons learned from internal Mamp;E products, Third Party Monitoring and Evaluation, Complaints Response Mechanisms and audit recommendations.
  • Support the Country Director and Head of Programmes in donor and other external communications and liaison, including participation in high level meetings and forums, follow up of queries, information requests, informal reporting, and progress updates.
Suitable candidates for this position should possess:
  • Minimum of 3-5 years country-level experience in project management and/or grants development, donor relation
